Duplicate management is a identifying a duplicate based on a condition for an appropriate action is called duplicate management .you can configure duplicate rules and matching rules for most standard objects (such as Accounts, Contacts, Leads, Opportunities, etc.) custom objects also created  in your Salesforce organization.

Duplicate data leads to confusion, wasted time, and inaccurate reporting, affecting sales strategies and customer relationships.

Basic Concepts of Duplicate Management:-

Key concepts include duplicate rules, matching rules, and duplicate jobs that help identify and merge duplicate records.

there are two steps follows the duplicate management:-

step1:-duplicate rule.

step2:-matching rule.

Duplicate rule:-

criteria and action for a matching rule is called duplicate rule.

Here are some examples of duplicate rules in Salesforce Duplicate Management:-

  • Exact Match Rule: Flags records as duplicates if all specified fields match exactly.
  • Fuzzy Match Rule: Identifies potential duplicates based on similarity thresholds in specified fields.
  • Email Duplicate Rule: Detects duplicate records based on matching email addresses.
  • Name and Address Rule: Flags duplicates based on matching names and addresses.
  • Custom Duplicate Rule: Allows organizations to define unique criteria tailored to their specific data requirements.
  • Account Merge Rule: Automatically merges duplicate account records to maintain data accuracy.
  • Lead Convert Rule: Determines whether to create a new account, contact, or merge existing records when converting leads.
  • Contact Merge Rule: Specifies conditions for merging duplicate contact records to avoid data redundancy.

how to create the duplicate rules in salesforce:-

first go to set up – after go to Administration -drag the data button — click on the duplicate management –below of duplicate management click on the duplicate rule. after click on the duplicate rule ,the figure looks like a show in the below figure.

you want to create the new duplicate rule please click on the new rule , available standard object and custom object .it will supports only four standard objects like(Account, contact, lead, opportunity).

After click on the any object the page look like below figures. after getting below page fill the all the blanks. before creating the duplicate rule , first you have to create matching rule.

matching rule:-

Set up the rules that determine how similar records must be to be considered duplicates, using options like fuzzy matching or exact matching.

Here are some examples of matching rules in Salesforce Duplicate Management:-

  • Exact Match Rule:  exact matching the information in specified fields, ensuring precision in identifying duplicates.
  • Fuzzy Match Rule: Allows for variations in spelling, abbreviations, or formatting, enhancing flexibility in identifying potential duplicates.
  • Phonetic Match Rule: Matches records based on similar sounding names or terms, accommodating for variations in pronunciation.
  • Custom Matching Rule: Enables tailored criteria for matching records, such as specific combinations of fields or complex logic, providing precise duplicate detection.
